Registration Guidelines

PRE-REGISTRATION CUT-OFF DAY

We will have two pre-registration periods this year.  The first period will be September through December, and the second period will be from January 1st through March 16th.  Badge sales at the at-door pricing will be available after that, both online and at the convention itself.

PRE-REG BADGE MAILING, PICKUP, AND AT-DOOR SALES

Will Call During The Convention - Will Call badges will be available for pick-up at the registration area starting Thursday, April 24th at 6 p.m. at the St. Charles Convention Center.  At-door badges can be purchased at the registration booth starting at that time as well.  By default, all badges are available for Will Call pick-up.

Thanks to Eventbrite, attendees only need to bring their Eventbrite ticket to claim their badge, either printed or on their mobile device.

Early Pick-Up Before The Convention - Registration pop-ups will be available in April leading up to the convention.  Details for those will be released during January 2025.

Advanced Shipping Optional - During Pre-Reg Periods 1 and 2, badge orders can choose to have their credentials shipped to them in advance for an add-on cost of $9-10 after fees.  For those choosing that option:

  • This shipping option can only be applied to the regular weekend and one-day badges. Any orders that choose the Chaperone or Child option will have this add-on refunded. Chaperone and Child badges may be picked up at the convention or during any announced early pick-up pop-ups.
  • All credentials on the order will be shipped starting in late March to early April; after pre-reg is finished on March 16th, 2025
  • Shipments confirmed lost by the shipping service used can be replaced at no-cost.  Shipments that are confirmed delivered must pay our badge replacement fee if the attendee no longer as their credentials.
  • Only the badges attached to the order with the shipping add-on will be mailed out.  If you wish to add additional badges to a shipping order, you must contact conchair@animestl.net with order details before the March deadline.  Attendees can also add-on shipping to a previous order using this same method.

SALES TAX & EVENTBRITE FEES

We are excited to be using Eventbrite to streamline the registration process!  To pay for the improved quality system, there will be a small fee with each badge bought.  In addition, we must charge sales tax for our passes.  Your total with these additions will be shown within Eventbrite, and will be dependent on the type of passes bought.

CHILD PASSES AND CHAPERONE PASSES

Children ages 7 – 12 are $30 and children 6 and under are free.  The ‘Child 6 and under’ option will not be available online due to misuse of it with advanced purchases.

When buying a pass for someone under the age of 18, parents and chaperones may also purchase a Chaperone Pass for themselves so that they may accompany their kids throughout the event.  Chaperone Passes can only be purchased by parents and guardians as described above that are 30 years of age and older and are $30 each.   The passes grant the same access permissions as a regular badge so that parents and chaperones can access the same rooms as our attendees.

18+ BADGES, EVENTS, AND IDS

Some parts of our evening programming will be rated as 18+. In order to gain access to these events, you will be required to show your ID at the door of the 18+ programming in order to prove your age.  Attendees who are 17 and younger cannot attend 18+ events even when accompanied by friends or family that are 18+.

REFUND AND TRADING POLICIES

Refund requests are processed on a case-by-case basis.  Refund requests should be sent to conchair@animestl.net by April 28th, 2025.  Badges that are checked-in, meaning claimed at Registration, our pick-up pop-ups, or the mailing option, cannot be refunded.  Unless the convention is cancelled due to reasons beyond our control, rollovers are not an option.  We advise contacting the conchair address instead of using Eventbrite’s request refund system, especially for special cases or partial refunds.  Once a refund is initiated on our end, it can take up to 5-7 business days for Eventbrite to process it.

For transferring purchases, attendees should be able to do that within Eventbrite and edit their information (ie, the buyer info will remain the same, but the name and badge information can be changed so that someone else can pickup the pass).  Any issues with this should be reported to conchair@animestl.net.

Anime St. Louis Badge Purchase Agreement

By submitting any forms to Anime St. Louis you allow us to see this personal information.  Anime St. Louis does not share your information with 3rd parties (solicitors and telemarketers).  Your information is solely for records and allows you access to your pre-registration badge.

All attendees, speakers, sponsors and volunteers at our events are required to agree with the following code of conduct. We expect cooperation from all participants to help ensure a safe environment for everybody.

Anime St. Louis is dedicated to providing a harassment-free experience for everyone, regardless of gender, age, sexual orientation, disability, physical appearance, body size, race, or religion.  We do not tolerate harassment of guests or participants in any form.  Members and event participants violating these rules may be sanctioned or expelled from the event (without a refund) at the discretion of the event organizers.  Anime St. Louis also works with the venue's staff and security to ensure a safe and fun event and will follow their counsel to make sure this goal is accomplished.
